A receiving process that catches problems early

A Practical Quality Inspection Checklist for Wholesale Wig Orders

A consistent receiving process helps wig businesses identify discrepancies before products reach customers.

The aim is to compare the shipment with the order you approved and record any differences clearly.

Prepare Your Reference Documents

Before the shipment arrives, gather the purchase order, approved specifications, sample photographs, and any agreed tolerances.

Your checklist should reflect the actual order. Avoid introducing new acceptance requirements after production has been completed.

Verify Product Identity and Quantity

Start with the basics:

Number of units received

Product codes and labels

Requested colors and lengths

Cap sizes and construction types

Included accessories or packaging

Keep shipment labels and packaging until the initial inspection is complete.

Inspect Construction and Finish

Check caps for visible damage, unfinished seams, and discrepancies in the requested construction. Inspect adjustment components and attachment points where applicable.

Measure caps and hair lengths using the method agreed with the supplier. Different measurement methods can create apparent discrepancies even when the product has not changed.

Compare color under consistent lighting. Photographs taken in different lighting conditions are a weak basis for judging small shade differences.

Agree on Performance Checks

If washing, detangling, or styling checks form part of your quality process, define them in advance.

Use the recommended care procedure and document what you do. Keep tested units separate from untouched inventory, particularly if testing changes their condition.

Report Issues Clearly

For each discrepancy, record the product code, quantity affected, description, and supporting photographs or measurements.

Separate a confirmed departure from the specification from a preference you would like to change on the next order.

A structured inspection process gives both buyer and supplier a clearer starting point for resolving problems and improving future orders.
